What about holding the event on a Friday evening at your school?
You don't have to charge admission and any food you sell (pizza, bottle water, juice, hot pretzels, popcorn, etc.) can be part of the funds raised. No need to supply dinner or drinks. You'd need a lot of volunteers to help set up.. Make it a party - kids can dance, (get a DJ), hold a contest for them, have some little games, arts & crafts in addition to/before drawing all the raffle prizes. You can make this a family event if you like and probably need your school districts' approval as well as the principal (who probably would want to be there)
mzf823 we just had the same thing happen to us in the last 2 weeks and our event is in March! We scrambled and found a new location so we didn't have to change the date as back in December we started promoting with Save the Date postcards. I would hope that there would be some way you could still hold your event even if you have to switch dates because locations aren't easily available with short notice unfortunately. Try restaurants that have larger banquet rooms, Community Center meeting rooms, VFW's etc if you're desperate for a location.
As far as contacting the places who donated, unless you are planning on returning every donation with a letter as to why, contacting them doesn't accomplish much. They still donated to you and deserve a letter for tax purposes even if you can't put their donation to use - unless you're returning it.
Could you possibly switch to having an online auction for your school/community? We use SchoolAuction dot net for our auction software and they do have an online component
Question for the masses......I have solicited donations for our upcoming fundraiser with great results, thanks for all of the information. Now here is the problem, the venue of fundraiser has closed down and we have to find a new place...hence we've tentatively cancelled our fundraiser....what to do? Should I contact the places who have donated and explain? HELP?
