2013 ULTIMATE DONATION LIST

11 years 8 months ago #162846 by rickysmom
We use the square to except major credit cards. We experienced significantly higher bids with the credit card option. As far as checkout we maintain record of all winning bids by paddle number (they register when the get their paddle so we have their info) on a master checkout sheet. Everyone checks out at the end of the event, cash check or credit card and done.

I know this isnt technically a "donation" question, but I'm going to give it a shot anyway and hope for some answers.
How does your auction check-out process work? Do you use a system, or just a cash register? How do you keep tabs on what paddle number won what number item? This pertains to Live auctions only. Also do you accept credit cards during check out as payment? If so, what company do you use and do they give you a deal for being a non-profit?
The last 23 years we have held our auction we have only accepted cash or check. I am hoping to change that this year, but I need to convince the director of the school...which is going to take some persuading!

Ooo, I love the balloon idea. Now I am re-energized to get some more resturant gift cards! Cool idea.

Instead of adding gift cards to a silent auction, we have a balloon pop game. Separate gift cards by value. We have $10, $20 and $50 balloons. Make sure the balloons are different colors, too. Put a slip of paper in the balloon pertaining to an evelope with the gift card. Let the guests know they will receive a gift card with the value they purchased it for or more. For example, if you have a $25 gift card, you would put that in a $20 balloon. This is a fun and easy way to raise money. Watch out, these will go fast!

Hi Rosie,
It sounds like you are on the right track. There will always be bidders trying to get the best possible deal -- that's understandable -- but you will also have bidders whose main interest is to donate to the school. Trying to have a good mix and range of items is one way to address your different types of bidders. It may also help to let people know when you are promoting the auction what the proceeds will be used for. That can help keep folks focused on the purpose of the auction.

You'll also find some good tips for running a successful auction here:http://www.ptotoday.com/pto-today-articles/article/50-auction-action-plan

Good luck!
