Usually items just show up imo - a few places will send an email or initial letter saying you will receive a donation within 30 days of the event, or specific date but it isn't the norm.
I applied for American Girl about 4 weeks ago and just got the notice at the end of last week.
And I came up with a form letter that I was sending out to companies for donations - probably sent out almost 300 letters. All via email or online. Most told me that they were donating and then I started seeing the packages roll in. But I have received at least 15-20 items from companies that never responded and just sent in their donation! It was like Christmas in July for PTO!
I filled out the form online w/ my tax id download, but no response as of yet.

Those of you receiving donations from any company that you have contacted w/ a letter...
Are donations just showing up w/o hearing anything back from the company if you were approved or not? I have filled out online forms and contacted nearly 100 companies with our donation letter. (Our donation letter includes the school address as the place to send any donations). The only companies that have confirmed approval were a few local, a minor league baseball team and Disney.
I'm hoping that I will have a bunch of stuff waiting for me next week at open house but don't want to get my hopes up! I'm a little over 5 weeks out from our event.
I applied for American Girl in June and didn't hear from them so I applied again July 22nd, they approved me in about a week and the doll was delivered on August 3rd
