Just an update.
I offered our treasurer several forms that were sent to me. I thought she could use the help in preparing the budget. Apparently I upset her. This is what I got for a reply:
Sorry Lisa But I will not be filling out any of those forms.
If somebody has a question let them ask Me. I am responsible for the money and unless you keep money your self I have all the necessary paper work to cover MY BUTT.
Don't talk to me about accountability again. You do Your job and I will do mine.

How should I handle this? The principal says to let it calm down for a few days then have a meeting. She agrees that there should be accountability and that both of us should count the money and sign the checks. So far, I have done neither. I honestly don't think she would steal, so what is the big deal? Has she just become territorial, or do I have a cause for concern?
I don't mean to overcomplicate your request, but what does your PTO/board want to see each month? Transactions for the month, performance to budget, or both?
Do you guys set up a budget for each category at the start of the year? If so, you'll want to see the activity-to-date against each category; we call this Performance To Budget. I think it's a more valuable decision-making tool than just a list of transactions for the month. You create a performance to budget report by posting transactions not just to your bank account in general, but to specific income or expense categories. That way you know if you've exceeded the staff appreciation budget, for example, or fallen short on the candle sale, and then can take action based on that information.
The transaction list (checks written, deposits made) should be reviewed by the Exec Board each month just to keep everything "honest". The Execs should scan for any unusual or unexpected transactions and the treasurer should be able to explain them all. This report would also show the current bank balance. This report doesn't really help you make proactive financial decisions but it does show where money has come/gone for the month. If you don't budget at a category level, this might be your only financial report.
Have you considered using Finance Manager? The reports are integrated with the system. You might want to take a look at the demo system. I'll email you the excel report we use, but our transaction system is quicken, though Finance Manager has both so you don't need two systems.

I am in need of a form that you guys use to show people what your budget is like. I just need a simple one that shows deposits and withdraws with spaces beside them to show what it was and also maybe a few lines to show profit for a fundraiser. Bless our Treasurer's heart, she tries, but I can't make heads nor tails of her reports. She gives us an amount thats in the account and a bunch of other irrelevent things. So if I had this form to give her, I would understand it more.
