I use my person phone number since I am the contact. We aren't a school, but even if we were I wouldn't want to bombard someone there with phone calls. And honestly I don't get a bunch of phone calls anyway - it is usually e-mail.
I have two donation letters - one for new requests, and one that is for previous donors - it thanks them for last year's support, tells them what we did with the money raised, and asks them for their continued support.
"Thank you for your interest in Coach Product Donations. Regretfully, we must decline your request.
Coach donates product on a limited basis exclusively to non-profit organizations recommended by our employees. As you can imagine, the number of requests we receive to support worthy projects grows substantially each year, and we are unable to fulfill them all."
When you are filing out an on-line donation request and they ask for a phone number ... do you give your personal phone number or the school's phone number? I don't want to send unnecessary phone calls to the school, though our secretary is very willing to help out. I'm not sure if listing a personal phone number looks bad on the application.
Also, if a company donated to us last year, do you still send/give them a generic donation letter, or do you say something about their wonderful donation last year and how it help us achieve success in our auction and we hope they are willing to donate again?
