I sent a donation request letter on our letterhead to the distribution center near me and they called with 3 days saying they would be happy to donate hotdogs....they didnt say how many but asked how many people we had coming. I have to pick them up closer to the event date.
Thanks for the responses...I actually went back to their site and when I entered our tax ID, it said that we had already applied for a donation this year, so you are not able to reapply.
We divvy up procurement by geography - we have several members of various neighborhood associations in the school, so we carve up the city into areas, and give people those to tackle.
And keeping track of your donations in a central place is essential. If you are not going to use a dedicated software product to keep track of them, Google Docs is a decent alternative.
