Lots of great ideas here. You might also want to check out PTO Manager, our new web-based software, as a way to ensure that information is passed on from year to year. PTO Manager will have a place for event description/notes as well as all the volunteer information so you know how to staff the event.

We have used notebooks like the ones Kathie describes, and they are wonderful until you get someone who, for whatever reason, drops the ball. Our president this year received an EMPTY notebook. (Makes you want to pull your hair out, doesn't it?) Perhaps we could use forms in a permanent, school-based file as a backup.
