I'll underscore Duck's response. It's disrespectful to change a meeting time unless there's a real emergency. A sure turn-off to your precious members. As far as the treasurer's report goes, another officer should present it in the absence of the treasurer. Ideally, the board would have met privately before the general meeting, and the treasurer could have explained the report to the officers there.

My school is in an unusual position in that our treasurer doesn't have children at the school anymore. She has been able to make it to _most_ of our meetings - but not all. If she can't be there - she sends her report to me a few days ahead (in case I have questions) and I give the report in her place.

As far as resceduling - if at all possible it should be avoided. People need to know they can count on your set calendar. Others have rearranged their schedules to be there....it's not fair to them to suddenly change the dates - therefore leaving them with a rescheduling nightmare of their own. We had issues with this at the school the last 2 years when the past President would reschedule EVERY meeting...usually with only 1 day's notice! Sometimes she would just forget about the meetings and people would show up, wait and have to go home. No one had a clue what was going on.

My opinion is that you schedule the meeting that works for the majority of the expected attendees unless it is truly crucial to have this one person present. As for the Treasurer: we run with the policy that if they can't attend the meeting then they give the financial report to another officer so it can be presented at the meeting.

I need some advise (again)...We have 4 exec officers and are in the midst of creating bylaws and code of regulations for 501c3. One member in particular has many irons in the fire and seems to be having difficulty meeting to get these things accomplished. We all have busy lives, I know, but how far do you go for one person? Is it appropriate to cancel meetings for her? The majority can meet (3). Also if the treasurer is unable to make a meeting, should the financial report be given to another member to read or should it wait until the following monthly meeting, or should the meeting be rescheduled? Please help!
