I should not have to ask the yearbook chair how many were sold. It is the treasures job to keep accurate records! This must not be the PTO you think it is because NO reports like you described were given to me! And an audit was NEVER done.

I wonder why you don't have anything to say about the original reason for this post, that the treasurer went over budget with out authorization?

you didn't answer the question? why have you not asked the yearbook chairperson how many were sold? if this is the school I thnk it is, what did you do with the reports your treasurer gave at end of year? I know she did because I have a copy and she brought them to that meeting. As a matter of fact she had two different reports! One showing every check and deposit made and what they were for and another report showing was the expenses and income for each event was. Where you at any of the audits that were scheduled during your PTo meetings? Were you at the end of year meeting???? or all of the others the previous year??
dblck: I wish we had some facts to work with. That is part of the problem. The Presidents were not given anything! Your right about the bill showing how many yearsbooks were bought but it wont show how many were sold. Isn't that the treasurers job to know that? Maybe I'm wrong? (Checks and balances). I don't believe I said anything was "going on" with the two treasures. I just want the requirements of the bylaws to be followed. You are also right about bills coming in after summer. That is another reason why a year end audit would have been nice to show how much money we had left to do things with after all incoming bills or obligations were filled. (NET WORTH)! I didn't say either treasurer did anything other than spend more than what was budgeted without following the proper procedure! I just wanted a starting point.
You need to get 2 signatures no matter what she thinks. You need to protect yourselves. We are working on a reimbursiments. No reciepts, no money. Any money spent in access of the budget is subject to approval. What does your bylaws say about removal of an officer. You may want to think about that. It's not her money to just through around.
To the one's with treasurer problems. You better make sure you have checked all your facts. Ask the old treasurer if she had receipts for all checks. Bet she does! Who was in charge of the yearbook? Why aren't you asking that person what happened and for copies for her receipts and how many yearbooks were sold. The bill should show that! Just because the treasurers may have known each other doesn't mean somwething is going on. You better be careful what you are saying about people and spreading rumors without knowing the facts. It's called liable!! If you are changing treasurers at the end of a year, sometimes bills don't come in till the summer when schools are closed or till september when they open again. There is no way to have every bill paid for by the last day of school unless you stop ordering or buying things by May 1st, that includes yearbooks!
