Question: Vendor/craft Fair

I am heading my schools very first vendor/craft fair and I have no idea what I'm doing ! I have several people that signed up for tables. But the event has to be held outisde per school rules. Do I need to get a port a potty? How do i advertise this event for cheap? Any ideas would be greatly appreciated.
