Question: Donations

How does everyone handle their donations? Specifically, I mean monitoring them for their use. We have a, new to the PTO dad, that is aggressive in requesting but we don't know him well and since he is the only one doing it we want to be sure all the items are used for PTO - not personal use. This is new to us so we're glad to have the help just need guidance as to proper use and tracking.
