President, Vice President, Treasurer, Recording Secretary & Correspondence Secretary. Since no one else provided their descriptions, ours are below. It does not cover all responsibilities because depending on how many chairpersons we have & volunteers, the President, VP & Treasurer does more throughout the course of the year.
Section 2
The President shall preside at all meetings of the organization and of the Executive Committee, shall perform such other duties as may be prescribed in these by-laws or assigned to the President by the organization or the Executive Committee, and shall coordinate the work of the officers and the committees of the organization in order that the objectives may be promoted.
Section 3
The Vice President shall act as an aide to the President and shall perform the duties of the President in the absence or inability of that officer.
Section 4
The Recording Secretary shall record the minutes of all meetings of the PTO Board, shall have a copy of the approved by-laws available at every meeting and shall perform such other duties as may be delegated to her/him. The Recording Secretary shall keep a record of attendance for each PTO meeting.
The Corresponding Secretary shall check the mail in the PTO mailbox and notify the appropriate chairperson. The Corresponding Secretary shall perform the duties of the Recording Secretary in the absence or inability of that officer. He/she is also responsible for creating the monthly newsletter and answering or forwarding messages from the PTO voicemail.
Section 5
The Treasurer shall have custody of all funds, keep an accurate record of receipts and expenditures, and shall pay out funds in accordance with the budget as authorized by the organization.
The Treasurer, along with the President and Vice President, shall prepare a proposed budget to be presented first to the PTO Board and, upon approval, to the general membership at the first general meeting of the year.
The Treasurer shall be responsible for the maintenance of such books of accounts and records as conform to the requirements of Article XI, Section 1 of these by-laws. The budget shall contain an accounting of the prior year’s receipts and expenditures, the projection of current year expenditures and receipts, and a working guideline of proposed programs and purchases. The Treasurer will be required to file all Internal Revenue Service forms for each year.
The Treasurer shall present a financial statement of accounts at every meeting of the organization and at other times when requested by the Executive Officers and/or the PTO Board, and shall make a full financial report at the annual meeting. The financial report will be prepared in June, to be included with the annual budget.
The Treasurer accounts shall be examined annually in August by an auditor or auditory committee of not less than three (3) members, who, satisfied that the Treasurer’s annual reports are correct, shall sign a statement of the facts at the end of the report.
Section 6
All Officers shall deliver to their successors all official materials at the end of their term, with the exception of the Treasurer, which will occur at the time of the audit.
