Our PTO hasn't given any financial numbers on paper to any PTO members. They have their PTO meetings early in the afternoons; as they say if you want to know you need to attend. To that I say I work full-time and I cannot attend but as a PAID member I deserve to get some type of financials on paper. Other members feel the same way they just don't want to say anything. I have mentioned it and nothing has happened. Other members confide in me because I have served on the board in the past.

The board does not want her resignation. The president may step down due to the fact there is no support. There is a principle of right and wrong, and the board choices wrong. Would any president out there stay in a situation like this?

Whoa! It would seem to me that there are red flags everywhere. The deposits should match up with the deposit receipts the treasurer should have. It is the treasurer's RESPONSIBILITY to know what is going on!

The president has every right to question these descrepancies as should the board. For the treasurer to say she/he has no idea as to why there are these descrepancies sounds, to me, as though she/he does not read the statements nor does any reconciliations(which is part of the treasurer's responsibilities). The entire board should insist on an accountability now. I do not know what your situation is entirely but if it were me, I might look for a new treasurer.

The president in frustration finally got copies of the bank statements. The deposits do not match up with the bank deposits. The president has questioned deposits, but treasurer response it "I don't know". The board believes that this is the treasurers' responsiblity not theirs, that the treasurer has his/hers own way of keeping up with the records that we just need to put our trust in that person. The president has tried to reason with the treasurer but will not cooperate. The president has requested, reconciled bank statements, budget year to date, etc., but has not received not one. The only report the board receives sometimes is a register report, but that has errors in it to. Board members believe the president is asking to much of the treasurer, believing that the president is demanding too much.

To help answer the budget question...umm...the word "organization" and "planning" were not used widely prior to me shaking things up. Actually also there is more of an active group this time than ever before. They have never developed a budget (it's being worked....guess who?!) for next year. The $10,000 carry over from the previous year was so large because to be honest there were only a few teachers and maybe one or two parents that even participated in the past. So they just spent it as needed and that was it. I still seem to be the only concerned one that we overspent what we took in this term. I'll live with it though. Hopefully by doing the proposed next year's budget they'll start realizing. We have 622 members...of that how many participate...can you guess? about 20 if that. The board has 33 members only 20 show up for the meeting actually last time only 12 were there. So we're trying. It's just frustrating.

Our PTA has a budget and any expenditures over $200 have to be approved by the general membership. To keep track of how we're doing during the year our Treasurer gives a Treasurers report at the monthly general meetings showing the monthly "cash flow" or record of transactions. So if we've just finished a fundraiser I can quickly go back to the budget and see if we made our goal. Also, each committe is given a certain budget at the beginning of the school year and they are reimbursed when they have expenses so we can see how they are doing.
