We use Quickbooks for our accounting software. It is a little more involved than Quicken, but allows us to get the reports we need and quickly reconcile our checking account. It also helps at audit time.
We use (an old version) of Quicken. It works great with one exception - I couldn't find a way to format the type of report I wanted for our monthly meetings. So...I also keep the info in excel.
I believe you absolutely need Quicken or some other tool for tracking activity against your budget's individual accounts (or "categories" as Quicken calls them). The previous treasurer used a manual account book which worked ok, but I know she spent considerably more time doing it by hand. Quicken also makes monthly check reconiciliaton a 5 minute exercise.
I should add that our system is on my home computer, not at school. When I "retire" at the end of this school year, I will deinstall Quicken and the files from my computer and reinstall them on the new treasurer's home computer.
I've heard MSMoney might also work for a PTO, but I have never seen it. Anyone else?

We also have forms that are filled out
check request, grant form, deposit forms, etc.
for all accounting needs. It seems to work out fine when it's time for audit purposes. They check request are file by date. At first we were going to get software but then we had to get district approval on the software then to get it loaded and then wait for a computer to be available for us to use. Decided to stick to paper and pencil. Our school doesn't have lots of computers that we can come in to use. It's also hard if that board member works full-time.
