ya know, it would have been SO much easier that way also, but our secretary has to have her hands and a say in EVERYTHING that goes on. I suggested last year that they make a list of explicit DO NOT Publish kids and that way when I needed to do this, they could give me the list and I would take those forms out of the pile, intead of someone having to go through ALL 400 forms!!
Correct. If the parents gave explicit permission to publish the information in the directory, that supercedes the school's do-not-disclose form.
(Note, unless - perhaps - they signed the do-not-disclose form later than the directory-ok form. These are really two different issues/organizations, but I'd still check on those.)
At our school, the staff kept a file of all the do-not-disclose forms. The information was also marked on the child's records, but there was ONE file with a copy of all the forms with restrictions so they could be easily pulled. Out of 600 kids, there were probably 20-30 forms.
When I did directory, one of my steps was to staple a copy of the directory-ok form to each othese, just to make SURE we had proof that it was okay to publish the information and to protect the school.
So I guess my question is, why can't the school just give you a list of all those with restrictions and let you supply copies of your permission form for that set of people. Seems much quicker.
I am doing our directories and in years past we have tried to get it out by the end of the first six weeks. NEVER happens. When I was asked by the president elect last spring if I would do them this year I was hesitant because of this. But I told her as long as I got the forms by the third week of school, yes I would do it.
The problem lies in the parents permission to publish or release information.
On OUR form, the parents check whether they give permission for the information( which THEY provide on that paper) to be included in the directory.
Then in the same MONSTER packet of stuff to fill out there is a form from the SCHOOl about releasing"directory" information.
I got the directory all done, it is ready to print and put together. Now, just 5 days before the six weeks ends, the school secretary ( who is a pushover anyway) is saying that she needs to make sure the parents haven't signed the other form to not publish.. so now she has to go through EVERY form( about 400) and check each name against her records, this will take her WEEKS to do!!
I am under the impression that if they sign and give permission on our form with the info provided by them in their handwriting, it doesn't matter what they put on the other form.
Does anyone know the true answer to this?? I am thinking of paying the superintendent a visit to see what his thought on this.
