LOL, PresidentJim, I just read your list and I am fulfilling at least 5 of your positions myself this coming school year.
I was asked to return to our school group after the previous leader spent 2 years driving people away so at least I have an idea what I'm in for, and hopefully our new group can turn things around and some new people will step up to lighten the load.

I had everyone of these positions, and a couple of others, filled, with the exception of VP and Food Drive Chair.

Well, first I think the start of last year was one of the biggest reasons why I was able to get so much involvement for next year. On the first day of school, which was a half day, we held our first annual Back to School Ice Cream Party. This event, which was 100% free, ended up starting off our year and resulted in our having aover 40 people (more than 20 new) at the first meeting. I had a get involved table at the party, using some of the articles found on PTOtoday to help. So keeping the school spirit and the fun going throughout the year with numerous new events and continued participation, we ended the year with more members than ever before and having more that double showing up at the meeting at the end of the year.

One other important thing that I have learned is that many are not comfortable with taking on big jobs by themselves, such as Open House chair or Teacher Appreciation Chair. So instead what I did this year was turn these "bigger" jobs into committees from the start. Rather than say, hey Deb would you be willing to chair Open House again, I explained how I didn't want any one person to have to miss going down to their child's class during Open House so this year I'm trying to get a committee formed now of five or six people (or more) so that the responsibilities can be split up. This seems to have been embraced by many, and the truth is that one member will likely step up to "chair" the event in that they will send out the first e-mail, get things in motion, etc., so it ends up being all good.

Also, I did have to approach people. This year both our Treasurer and Asst. Treasurer moved on to the middle school, and filling these roles was very difficult. But I approached a few select people and was able to coerce a couple into taking it on.

I did get very lucky overall, but it just seems that the higher turnout and the new fun events have just kept things going and has helped so well at election time.

sometimes you have to go out and solicit parents to do the jobs. Handing out the sign up forms isn't going to get you the volunteers you need to run your events. If you know of a person that would be good at something and it should fit into their schedule, approach them. Point out their good qualities (organized, personable, timely, etc) and tell them you could certainly use those skills for a committee person.
I've found that I was able to get more people to run things that way, then just sending out the form.

Doing it for my one and only ~~ my son!

Pres. Jim, if you had all these chair positions filled ,you are one lucky guy. I did most of this my self last year. How did you get all of these volunteers?

Here's what I came up with for this year's elections. I'm going to include all positions and not just the board members. Figured it might help someone...
President – Oversees all PTO functions, responsibilities & funds. Is the liaison between the Principal and the PTO Committee.

Vice President – Acts as an aide to the President and performs the duties of the President in the absence or inability of that officer to serve.

Treasurer – The Treasurer shall serve as the custodian of PTO funds. Working with the President the Treasurer shall determine a yearly budget and will amend and allocate funds throughout the year as necessary. Maintains all financial books and records.

Secretary – Takes minutes of each PTO meeting. Ensures distribution of the minutes upon President’s review. Maintains the active PTO roster and contact list.

Assistant Treasurer – Acts as an aide to the Treasurer and performs the duties of the Secretary in the absence or inability of that officer to serve.

Assistant Secretary – Acts as an aide to the Secretary and performs the duties of the Secretary in the absence or inability of that officer to serve.

Fundraising Coordinator – Manages the coordination of the PTO’s fund-raising activities, including investigation into various opportunities and makes recommendations to the committee in this regard.

Volunteer Coordinator – Coordinates volunteers for PTO events and school activities. Collect list of general volunteers at beginning of year. Assure that volunteer data is recorded and available to both the Committee and teachers. Work with teachers, staff, and leaders of committees to assure volunteers are recruited for programs and events.

Enrichment Chair – Heads the Enrichment committee which serves as a resource to the teachers in regard to field trip opportunities. The committee researches grants and free in-school programs. Coordinates and recommends in-house enrichment programs (i.e., Bay Colony, Historical Perspectives, etc.) and schedules them in correlation to the school’s curriculum.

Hospitality Chair – Coordinates refreshments for specific PTO school activities such as PTO meetings and special PTO events. Coordinates childcare services for the PTO meetings.

Reading Incentive Coordinator – Heads up the Reading Incentive Program, including a beginning of the year program informational letter, monthly calendar handout and collection, record keeping, monthly incentives and end of year awards.

Cheer-Up Chair – In correlation with the school’s administration provides sympathy cards and/or gifts for those students or staff members who have been injured or who have had a loss in the family. Keeps the President and/or the committee (depending on the situation) apprised of these instances.

Newsletter Editor – Produces, prints and disperses the PTO newsletter.

Webmaster – This position is responsible for maintenance of the PTO website. Maintains the site on a daily basis. Takes photos of any and all PTO related activities for this purpose.

Spirit Wear Coordinator – Coordinates purchase orders of all school spirit items, including the hooded sweatshirts, T-shirts, water bottles, etc.. Works with a chosen vendor(s) and arranges the details of printing, etc. Researches and recommends new spirit item possibilities. Coordinates sale of these items via the PTO website and at major school/PTO functions.

BoxTop$ for Education Coordinator(s) – Box Tops for Education is a program sponsored by General Mills and enables schools to earn money for the school. The Chairperson(s) of this program distributes flyers throughout the school year to encourage families to clip the box tops from a variety of General Mills products. Coordinates various incentives to promote the program. Collects the box tops on a monthly basis and submits them to the company. Provides monthly updates on the program's progress and looks for other creative ways to increase collections.

Book Fair Chair(s) – The PTO sponsors three book fairs throughout the year. The Book Fair Committee Chair works with Scholastic to set the dates for the fair in conjunction with school/PTO functions (such as Parent/Teacher Conferences and Field Day/Family Barbeque). Works with the committee to setup the events and coordinates, in conjunction with the Volunteer Coordinator, volunteers to staff the events.

Ice Cream Party Chair – Coordinates the Back to School Ice Cream Party Committee, including setting the date, entertainment, flyers, etc.

Open House Chairs(s) – The chairperson(s) of this event, along with a committee, will coordinate the creation of "gift" baskets, to be auctioned off at the Open House event normally in October. This event generally consists of the auction, a 50/50 raffle, and light refreshments. Donation requests go out throughout the summer and September in order to provide enticing auction items.

Holiday Shoppe Chair – Coordinates the December Holiday Shoppe event, including purchase of low cost gifts throughout the year, sending event flyers home and working with the Volunteer Coordinator to staff the event throughout the week.

Family BINGO Nights Chair – Coordinates the grade specific Family BINGO evenings, including pizza, beverages and other food items, prizes, flyers, and book gifts.
Field Day & Barbeque Chairs – Field Day is an exciting and fun-filled day offered to the students near the end of the school year. The children spend the day enjoying relay races, games, and tests of athletic skills. Field Day is a celebration of physical energy and team spirit. The Field Day & Barbeque Chair(s) are responsible for working with the committee to define the stations, races and day’s activities; as well as working with the Volunteer Coordinator to recruit a large number of PTO volunteers

Teacher Appreciation Chair – Coordinates the Teacher Appreciation Committee to celebrate the Hill-Roberts staff during National Teacher Appreciation week, including gifts, breakfast, lunch, etc.

There are other positions, but many are very specific to the events that we hold so I didn't include them. Hope this helps.

Hello! Last year was my first year as pto President. Before my role our PTO was dead. I had to restructure and gain the interest and trust of the parents and teachers. I found my self completing the roles of most of my board. I pretended that all was great, but I was overloaded. The good news is that it worked and we are now very successful. I have been reelected and now the question. What exactly should be the roles of each of our board members?

We elected Pres, VP, Secretary, Co-secretary, Treasurer and 2 parent representatives for each grade level K-5. We elected the parent reps for each grade to improve on involvement.
