THANKS! The only ones I could find on the web were VERY specific to their school and I needed these descriptions that were more broad. I am proposing that we, as a PTO, create our own versions that are specific to our school and our needs. Our PTO is very laid back and more run by our principal than our officers. I am hoping to change that. I love our principal's input, but I do think we, as the PTO, need to have more say-so in where our money is spent. Thanks again for the descriptions.

Here's our information, hope it helps.

Section 2
It is the duty of the President to prepare an agenda for
each Executive Board meeting, to call the meetings to
order at the appointed time, to preside at all the meetings
to announce the business before the organization in its
proper order, to address all questions properly brought
before the assembly. The President shall preserve order
and all questions of order. The President shall have
general supervision of the over-all activities of the PTO.
The President shall appoint the chairs of all standing
committees and such special committees as may be
established and conducted under “Robert’s Rules of
Order”. The President shall serve as the PTO
representative to the school and to the board of
education. The President shall appoint a person
independent of the PTO, to audit the Treasurer’s books
once each year at the close of the school year.


Section 3
The Vice-President shall preside over the meetings in the
absence of the President. The Vice-President shall be
responsible for overseeing the fund raising activities of
the PTO. All fund raising chair persons will be
responsible to the Vice-President. The Vice-President
shall also be responsible for Public Relations, assuring
that reminders of all meetings and regularly scheduled
activities are announced through the school.
The Vice-President shall be in charge of recruiting new
members.


Section 4
The Secretary shall keep written records of all meetings
of the PTO and the Executive Board. The Secretary shall
keep all committee reports as prepared by committee
chairpersons, and have charge of all legal papers. Copies
of PTO minutes shall be distributed at PTO meetings for
approval. The Secretary shall conduct the correspondence
of the PTO, except where otherwise provided. The Secretary
will provide a copy of the minutes two weeks after the meeting
is held to the President..


Section 5
The Treasurer shall be responsible for receipts and
expenditures of all funds in accordance with the action of
the PTO. No funds shall be disbursed without the authority
of the Executive Board or the membership. All checks
drawn against funds of the PTO shall be signed by the
Treasurer and one other member of the Executive Board.
A monthly written report shall be prepared by the Treasurer
and presented at the monthly PTO meeting. The Treasurer
shall see to it that all moneys collected at activities are
deposited within 3 business days of the activities. The
Treasurer shall hand over all records to the Principal on the
last day of school.


Section 6
The Fund-raising chairperson(s) duties include organization
and implementation of the schools major fund raising
projects. The chairperson(s) shall be directly responsible to
the Vice-President and shall appoint committees to assist in
tasks. The chairperson(s) is responsible for all functions of
the fund raiser, such as accurate record keeping,
advertising, collection of money, and distribution of product.



Section 7
Volunteer Coordinator shall be responsible for getting
all volunteers for school events. The Volunteer Coordinator
will be in charge of the volunteer sign up sheets and to
make copies and hand them out to the necessary people.
The Volunteer Coordinator shall be directly responsible to
the President. The Volunteer Coordinator should attend
every PTO meeting to find out what time tables and how
many volunteers are needed for the event coming up that
month. The Volunteer Coordinator will be in charge of
sending out confirmations, and thank you notes to the
volunteers.


Section 8
Donation Coordinator shall be responsible for getting all
donations for PTO related events. The Donation Coordinator
shall be directly responsible to the President. The Donation
Coordinator will be in charge of sending out letters and
going to businesses to try and get donations. The Donation
Coordinator shall send out thank you notes to each business
or individual that donates any items or money. The
Donation Coordinator will be responsible for all donated
items and keep an inventory.

Hi! We are getting ready to elect our new officers for next year and I can't seem to find my listing of the exact job descriptions for each officer. I was hoping to find it on the web and while I found some information, it wasn't exactly what I was looking for. I basically want a listing of what is expected of each officer. I like to pass these around before nominations begin so there won't be anyone stating later that they had no idea what their job entailed. Thanks to anyone who can help.
