Treasurer Checks and Blances???

We do an annual report. She was following procedure leaving it in the PTO room (which we are changing) it wasnt sitting out, it was in a cash box in a closet.
I decided to file a report with the police because we know it wasnt an officer but we can't really place blame. We are going to diclose it in our next treasurers report at the next meeting. I think thats all we can do at this point.

Other than a better checks and balances. Which we are usually very careful but, not sure what happened with this.

Is it standard policy to leave that kind of money in the PTO room. If the treasurer was following procedures in leaving it there then I don't think she's responsible. If however, she did not and was irresponsible in leaving the money there, then I would hold her accountable. I could not personally write off that type of money without the vote of the group. Yes I think you do disclose it if there is no compensation made for the money. That wasn't hers or your money it belonged to the organization and in my mind the kids. If you hide the theft (and obtw you may consider reporting it to the police) then you could have all sorts of questions arise especially at audit time (which I hope you are doing at least annually).

What checks and balances do you use to make sure all money is accounted for?

We're having a "slight" problem last week our treasurer went to the bank and got change ($240.00) for our event no problem there. It was left in the PTO room and now its gone. We did have a PTO meeting and she came in with it and was sure it was all there and now its missing.
Other question too how do we handle this? Have her repay (there's no way she took it, but she feels responsible) write it off. And do we disclose this to the members.

IMHO I really think someone at the meeting seen her with the bag and took it. It was big bills $5 and $10 to make change and it was just grabbed out of the bag.
