Thanks for all your help, I will try it in excel, Time we are a small school and only allowed one fundraiser a year so we can't afford the software as much as I would love to be using it.

WE received the Treasurers Tool Kit!!!
It is awesome. Every check has a YELLOW disbursment form and every deposit has a GREEN.
We use the MY Money From Microsoft.
But, you will have to download to excel for spread sheets. If you can afford it, get the software from PTO Today.com!!
I use Access. It has better functionality than Excell, as long as you know how to use it. It's not as user friendly but much more powerful. Keeping track of volunteers is an offshoot of membership and directory and all the data is kept in one place. Queries are easily downloaded into excell and can be e-mailed to others.

I also use Excel, but instead of columns for each event, I use different sheets. The first sheet has all of the information (name, address, phone, email) on it, then I just copy and paste it onto the sheet that has the event the parent volunteered for. This is also much easier for my chairpeople as I can just print the page and hand them the info they need.
I also use excel for keeping track of all of our volunteers. We are 1 of 4 elementary schools in our district and we are not allowed to do fundraising (catalog) so we are limited when it comes to our funds that is the only reason we are not using the software that is available here. Anyway!! At the beginning of the school year we send out a form that lists all of our committees and places where we need help. As those come in I make one spreadsheet for each committee and then list the volunteers name,phone #, and email. We keep all of the forms in a folder so we can go back to them if needed. I make a copy of that list for each committee chair so they have it to call those parents when they are needed. Should we need more volunteers for a certain event then we send out those ever so famous We Need Help Notes!! Hope this helps!!
