Giving teachers money???

We tell our teachers how much they have to spend ($90 each this year) and give them a special envelope to collect receipts. When they have enough receipts, they turn in the envelope and we write a reimbursement check. We encourage them to wait until they have enough receipts so we don't have to write a check every time they buy something.

We seal the envelope and file it away for the IRS (should they ever come calling). With 30 classrooms, our budget for classroom reimbursement is a large portion of our total budget so we follow the IRS's recommendation of keeping receipts. The intent is that the receipt proves PTO money was spent in accordance with the PTO's approved mission.

We used to give the teachers a check outright at the start of the year, but we've had no complaints since we've started the reimbursement rule.

Occasionally, a teacher wants to buy something and have the PTO write the check up front. With only $90 to spend, that doesn't happen often. I wouldn't offer to do the shopping for the teachers yourselves. It can be a real hassle, even if it's a mailorder request. You'll avoid issues if you encourage the teachers to do their own shopping and then ask for reimbursement.

Hi!!! We usually reimburse the teachers but only if they have the receipt & turn in it attached to a funds reimbursement form. I guess if a teacher couldn't afford it out of pocket then I would write her a check with the understanding she turns in a receipt. Good luck!!!

WE ARE GETTING OUR TEACHERS P&S SCHOOL SUPPLIES GIFT CARD FOR THEM TO USE. THEY JUST HAve SHOW US THE RECIPT THAT THEY DID USE IT FOR THEIR CLASSROOM. PLUS THAT WAY WE ONLY HAVE TO WRITE 1 CHECK INSTEAD OF WRITING 50 CHECKS THAT MIGHT HELP A LITTLE GOOD LUCK

Our pto has set aside funds for the teachers to use for their classrooms. The problem is how do we disburse these funds? Should the teachers send in a list of what they want US to purchase or do we just give them the money? Do we need receipts of what is purchased if we give them the money? Do we just reiemburse them??? What if they dont have this kind of money? Any help would be great>
