I'm starting to think that the bank card is the way to go for us. It will only be 2 of us on the account and she is so busy that she can't go get the things we need. I am unable to write checks due to some bad checks I mistakingly wrote a few years ago. This way I could do our shopping and not have to worry about if she has time to do it. Thanks for the idea.
Kay- There is absolutely no reason for you to front the money. I have bought things for PTO and been reimbursed, but they were small purchases that I just happened to be out, so I went ahead and got them. I'm glad you still want to be involved and that she didnt drive you away. Hopefully someone will knock her off her pedestal and she will realize that she's not winning over people or even doing what's right FOR THE KIDS!
We used the educational credit union for our account. Everyone on the account (3) has to sign a card stating they are either the cardholder or user and we only have one. To be honest with you, as treasurer, I don't mind paying people back when it for under $50 and they don't mind, but most of the time I have someone do the ordering and I write a check to go with it or I go pick up the items and pay for them at that time. This may sound like more work but it's easier than writing a million checks and hoping people keep track of their receipts long enough to give them to you. We also never ever deal in cash. If someone gives me cash, it goes to the bank that day and I never pay in cash.

To those of you who got debit cards--what kind of account did you set up?When we set up the account at our bank they told us they didn't issue them to nonprofits like ours--it eliminates they easiness of stealing funds.
Hi Kmamom! We use Commerce Bank (I know you must have one near you) They gave me the card in all of 5 minutes. It would be impossible for me to steal using it unless the treasurer and I were in cahoots. The bank account has 3 of our names on it. The bank card only has my name on it and never leaves my posession. So if I were to use it and not hand over reciepts....the treasurer would still know about it as it is attached to the bank account and all transactions done with the debit card are listed on the monthly statement.
Even if I withdraw cash the ATM gives me a reciept for it. On every reciept I also write on top of it what it was for and what was purchased. If it is a reimbursement, I then attach the reciept the member gave me to the ATM reciept. So far it has been excellent for us and much easier for our treasurer as well.
As a treasurer I do alot of reimbursements, I perfer it that way for my records, but if it is a large amount I will sign a check and make it out to the store and have the PTO member fill in the exact amount when making the purchase. I get from them for the records. This also helps with tax exempt because the stores must have a check from the organization to give the tax exemption. I never give out cash for purchases and I only reimburse with a PTO check and never without a receipt.
It's amazing how one person can be such a drag on a system!
