I get so many emails for sample letters, that I thought it might be a great idea to bring this post to the top of the list - especially since it has a few sample letters and great ideas for soliciting donations!
Here are a couple of ideas that have been helpful to me in sending out donation letters:
1, Say what specifically the money you raise will go for. When I say that 'we are raising money to expand our library' or 'our playground equipment is old and in danger of becoming unsafe, so we are raising funds to improve it', I seem to get more donations.
2. Give some examples of what to donate. It seems like businesses don't always know what you want. For example, if you want a donation from a sportings good store, you could say that you'd love to receive a football, soccer ball, or sports team item.This takes more time but seems to yield better results.
3. I always ask for gift cards, even if asking for something else. I think businesses like to give those because there's a chance that either it won't be used at all so they have no cost, or someone will use a gift card and then spend more than the card is worth to get something they want.
4. VERY important (and already mentioned here) is to be sure to send a thank you letter! Personalize it, too "Thank you for your generous donation of a $25 gift card. Because of businesses like yours, we raised $500 to buy new books for our library. OUr students are now looking forward with more excitement to the library reading program!"
5. Relate both the request and the thank you to the students, telling what the benefit will be to them.

Hello! I am new to the PTOtoday forum AND to Fundraising. (My son is in 1st grade I just started a Fundraising Committee in my son's school at the end of his K year.)
