Here is an example of a donation request letter for donuts for dads
Dear Sir or Madam,

At _______ Elementary School we believe that parents are a child's most important teacher. This month our PTO is sponsoring "Doughnuts for Dad" on January 14th. Fathers are invited to come to school with their child and eat breakfast. It is through the help and donations of businesses such as yours that we are able to have programs such as this. We are asking for any donations that you can give for this special day including: doughnuts , orange juice, paper cups, plates or napkins. Your donation is 100% tax-deductible and greatly appreciated. Thank you so much for helping ______________ Elementary to make learning fun!

Dear Sir or Madam,

Our school's Bingo night will be held on March 13, 2003. The proceeds that will be raised during Bingo night help provide our school with materials not supplied by the school district, student achievement awards, and school improvement. We are asking businesses such as yours for donations of any kind to help make our Bingo night a success. Belleview Elementary PTO is a non-profit organization and all donations are tax-deductible. The names of all contributing businesses will be listed in our school newsletter. Thank you so much for helping __________ Elementary to make learning fun!

I found with Bingo night that call the companies seemed to work best. I would just call and say
"Hi, I am ____ with ____Elementary school. We are contacting local businesses to see if they would be interested in donating a prize for our school bingo night. Do you think (name of Co.) would be interested in helping us out?

This worked well we got over $700 in donations. Smaller businesses were more likely to donate.

I don't check back here very often anymore, winding down on PTA stuff these days.

If anyone else wants it, email me direct, cuz that's a whole lot faster way to get it.

I will e-mail you the letter we are using this year. It was very similar last year too. As a former business manager, I can tell you that businesses want to know how it will benefit them to help you. Point out how many students and families you will be serving, what the money you raise will be used for and how you will be advertising the event. We also are very general when asking for donations, that way the business can help in anyway they are comfortable. Make sure you send thank you letters acknowledging the donation too. Many businesses like to post these letters so customers and employees can see their community involvment.
As for parent help--I have the same small group organizing our event again this year. As fifth grade parents leave, we seem to only get just enough new folks to fill those spots. I'm really lacking on people to go out and solicit donations. I've finally come to the conclusion that we just won't have as many prizes as previous years and if anyone asks why, I will simply tell them that there weren't enough volunteers.

I was the same way when I started four almost five years ago. I try and not look at it so much as our group has no money and we need the donation but can you (the company) help us enhance what we are doing by helping me purchase snacks, etc. It takes time and fun when you get to know managers and others in the business, they remember you ( I have been preggers the last three years and one of my donators smiled when he saw me last week in regular clothes! lol)

As far as parents go, I don't know what to offer you as I'm not much better and have just as much trouble in this area. The pres this year seems to have the nack to get the parents to come, I don't know.

Anyway here is my letter I used last year....

To Whom It May Concern:

This year Teacher Appreciation Week is May 5-11 and at The Pinnacle Charter School the Parent Teacher Organization is excited about the events and treats we have planned for our entire Pinnacle staff. The PTO has been celebrating this week for our staff since the school opened five years ago with this year just that more special with the move into our new facility and the PTO’s ability to do a few more fun things.

One of the events the PTO has planned for the entire Pinnacle staff is a BBQ lunch for Friday, May 10th. At this time we are seeking a donation of hamburger buns to serve at our BBQ. We are planning on serving seventy-five (75) staff members (and hoping they will all be starving!). I will be able to pick-up the buns and can arrange to do this on Friday morning.

Your donation will be greatly appreciated and will go a long way to help build a great community relationship. For your future reference, our tax identification number is 00-00000. Should you have any questions please contact me at 555-929-6789.
