At our K-1 school, our Executive Board consists of only the elected officers: Pres, VP, Secy, Treas, Kindergarten Rep (to ensure our "new" parents have a voice). Same at the 2-5 school, only they don't have a Kindergarten Rep. The Board meets monthly with the Principal to (a) plan the agenda for the general meeting (b) discuss business and make decisions that may not need whole membership approval. We don't have our committee chairs come to Exec. meetings, although the Bylaws allow anyone to come. In an effort to set the expectations of hte committee chairs, at the start of the year we distribute a folder to each with their expense budget, profit expectations (if applicable), guidelines and helpful hints, along with anything the previous chair had. In my experience (6 years, two schools), the secret to smooth sailing is setting expectations early and nipping problems in the bud. Letting issues fester just causes bad feelings and will cause a blow-up sooner or later. Good luck!
Wow ,thanks to all of you for replying to my dilema. We had for the past at least 6yrs.a pres, vice-pres,secre., treasurer and as per bylaws "may include" media, volunteer, fundraising, BOE Liason,special events coordinator, my thinking is that everyone that holds a chairman or coordinator title should be a exec position. Am I way out there? We created new exec board positions as new ones were needed. Right or wrong?
I don'tknow what kind of resources you have but is there someone that you can think of that might have some "inside info" about this problem. Could you go and talk to the principal,teacher or maybe a parent who might know a little more? You could ask sortof non-chalant like about some of your concerns. I really wish that I could you help more. Really look into your by-laws and make sure that there is not a paragraph stating what these ladies are trying to do. All decisions to vote someone in or out has to be done at a regular meeting. There would really have to be some extinuting circumstances wear the board would do it. We have Pres, VP Treasurer, Secretary and Principal on the Exec Board. In addition 2 teachers can sit in on the meetings. All commitees are set up through the board and the general membership. The Pres is or can be part of all commitees. Anything that a committee wants to change needs to be put to a vote to the general membership. This should be in the by-laws which has to be available to all parents. Good luck.
How would I check things out without them noticing what I'm up too? I definatly want to get to the bottom of this problem. I have a feeling that I'm very close to solving this but do not know how to go about researching or making this infomation available to the parent/teachers. Any suggestions?
Our exec. board consists of pres., first vice-pres., second vice-pres., secretary, treasurer(me), first and second fundraising chairpersons, and publicity. Aggie, I would definitely check things out. No one wants to take blame for something that they did not do. If someone is pointing fingers than it seems like there is "something" going on. Go to someone you trust and ask. You are not accusing anyone of anything! Remember that. You are curious and want to find out if there is something that you need to know. Good luck! Keep the faith, it can take you far.
