We left it to the teachers to appoint room parents because they had to work closely with those parents. However, we did include it as one of the volunteer opportunities to check off on the volunteer form. So could let the teacher have that data along with any other way they were collecting offers.
At the PTO level we had grade parents - one parent to represent each of the K-5 grades. That parent represented the grade on our board and fell under the umbrella of the volunteer coordinator (as far as committees go). For each meeting, we'd ask for a brief report of anything special in that grade (programs, field trips, major activities.) The grade parent was usually also a class parent the he/she would coordinate with the other class/room parents. They would also advise the PTO when volunteers were needed for special events, like certain testing cycles or big events. (Our PTO tried to be the central point for all volunteer recruiting efforts.)
For monthly teacher appreciation (except Dec and May), a particular grade would host and organize the meal, dessert, treat - whatever we were doing. So the Teacher appreciation chair would work with the grade rep who would work with the class parents.
It made for a nice hiearchy and a workable division of effort.

I too would love to see a "proper form or memo". I was thinking of doing exactly this next year! I think it will help the cassroom, the PTO and the parent feel more involved. I am hoping to get Two parents of female children and two parents of male children as class reps.
I need help trying to put together something for next fall for a room parent/rep.. :confused:I'm not quite sure how I want to put together a form so any help would be wonderful. I'm trying to get more parent involvement in what we do as the PTO.. I thought if I could put together something room by room than that might make the parents who aren't sure how to help more likely to help.
