Your never out of line when it comes to protecting your groups money!
When we do our book fairs our chairpeople do not turn the money over until the bookfair is over, however at the end of each day all of the money is put into the school safe by the school secretary. So the chairpeople themselves are not holding onto the cash.
We just had a Scholastic Book fundraiser that went for Three days. We are a new board this year, we felt at the end of every night the money should be picked up by the treasurer. The ladies running the fundraiser were not happy. They said they have always held onto the money till the third day, counted it and turned it over to the PTO. Since we have started we have come across some things that made us a little nervous. So we decided when we were revising our By-laws that every fundraiser we had, the money would be picked up at the end of the day. These two ladies said this change indicated that we do not trust our volunteers.
We do trust all but one volunteer. In September we received a large amount of money that came from our school directory advertisment fundraiser from the previous September. A year later!! This person handles the Scholastic book fair and she is a para professional at the school. So it was very difficult for us to deal with the situation with out causing problems with her. So we decided to make this new rule as generic as possible. And it still came back on us!!!
So my question after that very long story is, are we out of line to ask for the money every closing day/night? Does it look like we do not trust our volunteers by making this a new policy?
