When I was Treasurer I gave each Officer as well as the Principal a complete copy of the monthly report which included a copy of the bank statement, a reconciliation form, any profit or loss statements for the month, a comparison of where we stood V/S our budget. The original was always kept on file in the office as well. I always wanted everyone to know our financial status. I saw no reason to black out the account number as we were all co-signers. We did howver do this when we had to give a copy to someone one time.
We did have a Pres. las tyear who worked from her own agenda and unfortunately we did not find out until after the fact that she spent money not approved in our budget. Nothing too terrible- she bought stuff we didnt need (and we havent located al lit) and spent much more then we had allocated. Fortunately she lasted only a year and we are now on our way to repairing the damage. For what ever reason the principal allowed her to cancel meetings and refused to let anyone look at the books so we didnt find any of this out until the school year ended and we had our audit.
I think I would have to sit down with this woman and ask her wha ther problem is. In as nice a way as possible I would remind her that each of you have assigned duties and she is making it hard for you. Perhaps you can decide as a Board where the lines are drawn so no one's toes are being stepped on. Good luck!
Thanks for all of your replies. There are deeper issues that keep coming out everyday, but being treasurer I want to make sure no one feels like I am hiding anything!
We do have certain controls in place like:
1. Two people must sign all checks - it's always me and the president herself!
2. A non-check signer must review and inital all bank statements for insurance purposes.
3. The bank statements are mailed to the school and the board member that goes through the mail puts the statement in my box. (It's usually whoever is in the office that day.)
I like the idea of either having a binder kept in the office or just providing copies at all board meetings. Maybe I will make a copy of the bank statement a part of my treasurer's report. That way everyone knows what is going on.
swimmom, why not keep a cc of all the docs in the prinicpals office or with her secretary, and tell your pres she can peruse them in that office whenever she wants to, the binder stays there but the books are open to her anytime.
We have a new Prez that has her hands into everything. Luckily, she does not like to deal with money. Unfortunatley, we have quite a few people that are CPA's or linked to CPA's who try to give their two cents everytime I turn around. If you have insurance you need to have the bank statement opened by someone that doesn't sign on the account, which in our case is our Secretary. I provide my treasurers report from meeting to meeting inclusive of the previous bank statement balance for documentation in our minutes. I give the president a copy of all activity for each committee, I also provide each chairperson with an accounting of all their committees so we can stay on budget. I told my president that there was no reason to micro manage people that in a business the president rarely knows the day to day goings on. Rather, she needs to make her chair persons accountable and provide a full report when required. In other words, let them do the job they were assigned. I also refuse to be micro managed but I will comply with requests because I have nothing to hide. (She has backed off some) The problem at the heart of this kind of situation is control. Some people need it others don't. Youv'e given 3 years, time to take a break and pass the batton. What do you do when the president is running his/her own adgenda? Anyone out there dealing with that?
Our treasurer is required to hand out a copy of the bank statement along with a financial report at every meeting. Whoever is doing the financial report can put whatever they want on there, and without the back up of the bank statement, no one would ever know what is really going on financially. I think it's good policy and provides more oversight. If you're concerned about too many people knowing your account number, just black that part out.
Our treasurer can't sign checks, so she is supposed to review the statement first, BTW.
I think you should tell her to back off and remind her that the president and treasurer roles are separate for a reason. Ask that she give ample time for specific requests of information not typically provided on your reports.
Also remind her that she will burn out quickly if she keeps trying to do everything herself. She might feel that if she is not into everything that she is not doing her job.
