We do the same merge list idea with our letters. I've been including a short hand-written note near my signature. Something more informal like... "we love your restaurant, would you consider donating dinner for two?"
Let them know you patronize their store/business in a personal way. It works!

I have several letters that I use to request donations for our Carnival, Winter Wonderland & Silent Auction. I would be happy to share them with you.
I suggest that you always create a form letter and then merge it with a database to create a personalized letter to the businesses that you are contacting. It really does make a difference.

This is my first year getting involved and I have not idea (and neither does anyone else at our school- new school- no PTA yet but working on it)-how to draft an appropriate letter to request donations, (money or goods) from local businesses, large companies etc. Can anyone share a sample letter with me to help me get started soon??
