Veggies, something sweet, coffee, tea and water are really all you need for an evening event.
Don't think that goody bags are necessary. How about a drawing to win a big one instead? Could sell tickets for $1.00 a piece to cover the cost of food.
If you are going to play hostess, then float around in the beginning of the evening and get people to share their pages, ask them about how they did this or that. Bring everyone together so that they feel connected.
Mostly you need to use this event to gain momentum. Learn from feedback and let the event grow each time you do it.

Hello! Our Fund raising committee is having our first crop tomorrow. While we are hoping it will raise a little cash, I really promoted it to the Principal as a "fellowship" type of event (so she's not unhappy with little return!)
It's a 4 hour (7-11) event tomorrow night. We have about 14 people scheduled to attend at $10.00 each. We will also have 2 scrapbooking related vendors there who also paid $10.00 each to attend. The vendors have volunteered to each give a door prize.
We will be providing bottled water & some light snacks (veggie tray, chips, etc.) but my question is do I need to do more? Should I spend money on scrapping goody bags for the attendees? I know some crops you get them & some you don't. I don't want to spend alot of money but I would like to build a following of people who enjoy our event so we could do it a little more regularly and hopefully, work our way up to a full-day event next year that we could make money on.
Any opinions? Also, is there anything else I need to coordinate or act as "hostess," etc? I want to make sure I don't neglect any duties but I'm hoping I'll get to scrap too!
I know some of you have hosted crops already so any advice you can give would be VERY appreciated!
