We just had our Annual Auction & Dinner on the 27th. For our silent auction, we had a place on each bid sheet for name, phone #, and bid price. We made over $11,000 on our silent auction. The live auction has a separate bidder registration sheet. The bidder fills in his name, address, phone, and email. (We are getting email so we can let our community know about the event next year!) That is all we collect as far as info...and we had no problem. Our live auction made $29,000. Our dinner brought in almost $9,000...so we exceeded our $30,000 goal by $19,000! We too accepted credit cards, and we had over $21,000 in credit card purchases. That was a plus for us. Needless to say, our PTO is excited about what we will be able to do this year!
Are you requiring this registration information for a live auction? We only do a silent auction and the parents/adults just have to write down their first & last name & phone number next to their bid amount. We haven't had any problems with this method.

As far as the auction bid sheets...we did ask for a drivers license number. No one balked about giving it and considering the fact that the community was invited it seemed a good idea. Fortunately, for us...and hopefully for all of you, it wasn't needed.
This was our first auction event and we raised $6700.00. I'm thrilled and also sick and totally exhausted. I so need help here and I don't know how to get people involved. We have so many really fun activities planned but I'm only one person with a committee of about 6. Any ideas out there?
I think last year, for the first time, you could register/swipe your credit card so we could take credit cards for the first time. we thought everyone would be a bit looser with their $$$ if they knew they could charge it.

We do a dinner with ours so when they sign up and pay for the dinner we assign a bid number. When they arrive they receive a name tag, some sort of item to use to bid with thier number on it, a program that has their number on it. We have already received their name, address and phone number if they are a member of the school and if not they fill that out when they pay for dinner. This saves time because we have already filled out the tally sheet with that information before the night of the event.
