I would suggest including a thank you note from one of the students. The year I was president we had the kids write a thank you note with a picture and included it with the thank you from the PTO. I actually got a letter back complementing us on including the students in the process. They also need to know that there are folks out there helping their school.
For those of you who have done this before, when collecting items for a silent auction do you send a thank you note as soon as you get the item or after the event or both? I can see sending one as soon as you get a donation in order to keep on top of things and so any early donations get acknowledged instead of waiting weeks or months until after the event. But then you cannot tell them how successful the event was and /or how much you raised and/or how much their donation raised. I can see sending all the letters after the event but then those people who donated early don't get any acknowledgement for quite a while. I am considering sending hand-written thank you notes to those who send in early donations and then follow up with the formal letters after the event. How do you all handle this? If you can post samples of the letters you use (Tell when you send it) that would be a great help. Thank you so much!
