ALSO I agree that you need to put a specific goal in front of the parent and attach a dollar amount or a total number of units that needs to be sold. That brings the sale into perspective for them.
Regardless, how can you convey your needs to your community? How about a list of all the activities and projects your group has paid for in the past few years? Or, do you have a particular project in mind this year? Let people know. Our school wanted a new shade structure for the playground and we printed a picture of it on our letter that went home to the parents! People will support you, but they want to make sure their money is being spent wisely. You are right---just saying it "benefits the PTO" is not so good!
It is great that you will have samples of what you are selling at your open house, parents will be able to try it before they buy it - great idea! In regards to why you are having a fundraiser, you definitely need to let your parents know a little bit more. You and your board need to sit down and discuss what you wnat to do with your money - do you want to purchase something for the school, for example a laminator or die cut machine? Is there something that the kids need, laptop computers or printers? Help pay for field trips? You need to have a goal, not only a dollar amount but you need to have a reason for the fundraiser. Are you planning any family fun nights that you plan on hosting for which food is provided at no cost to your parents?
Our school is selling the Entertainment Books. It is the first time we are selling them and the students get to bring home a copy before selling. In the letter that is going home with the parents, we are telling them that we are raising money for our playground. If you give them something specific and tangible, parents might be a bit more willing to purchase your fundraiser.
I'm getting ready ready for the coming year and we are kicking off our fall fundraiser selling Jose Madrid Salsa. The rep is sending free samples for our open house but I wonder not matter how good the product may be, is that enough to get them to sell. I think that saying "This benefits the PTO." is not enough and we have no big projects to shoot for this year. Please help, I need a rally cry!
