I wanna make more money for the PTA personal box I came up with every fundraiser I could think of and we did very well, However it just isn't enough because we have to pay for something the last PTA left behind so it seems our box is always empty how do we resolve the problem that's facing us.,

Great advice from JHB.

And JHB's probably right on the popcorn popper example, but -- man-oh-man -- I'd love to be part of the discussion if the state PTA came around trying to take the popcorn popper (or similar).

There's officiousness. Over-officiousness. And ridiculous.

I'd respond to the first. Prepare for the second. And ignore the third.

I would think you'd have a little "clean up" work to do. I'm not sure what all the State level PTA will handle for you, but beyond voting to dissolve and notifying them, you might consider.

  • Make sure any equipment (popcor popper?) or inventory (T-shirts?)is now "owned" by someone else (school, PTO, etc.). It's not like these things are that obvious, but you never know. If they do take your financial books back and maybe you just spent $1000 on a snowcone machine last year, they might notice and want it as a PTA asset.</font>
  • Copy any records that you might want for historical planning purposes if the originals have to be returned to the State PTA.</font>
  • Close bank accounts.</font>
  • Notify IRS.</font>
  • Notify state taxing authority (whoever you pay sales tax to).</font>
  • Find instances (web links and publications) that reference your PTA chapter and ask for removal. (Not that you'd spend a lot of effort on this, but if you know there's a link from your school district site, you may as well notify them).</font>
  • Notify key vendors/correspondents of new organization. Are you signed up as the PTA under Boxtops or any incentive programs like Albertsons or the old K-Mart program that need to be changed over?</font>
  • Document what you've done for the PTO so they have some records.</font>
  • Communicate with parents as to what's happening. (Hopefully this has already been done.)</font>
  • Do you have long-time supporters/donors that you need to notify? It might be nice to send them a letter that the parent group at your school is alive and well and hopes they will continue to be supportive, letting them know that you have a new name/format.</font>

Check your bylaws.

Here's a sample from another California PTA. Typically, bylaws in the same state are pretty similar.

(Note: I love these. there's only one line in the entire bylaws that's in all CAPS, and it's: THE DISTRICT SHALL BE CONSULTED AT LEAST SIXTY (60) DAYS PRIOR TO ANY VOTE BEING TAKEN TO DISBAND THIS PTSA. Think someone's worried about something?)

If your PTO is up and running and your PTA bank account is near zero, then you should be fine here. Remember -- there's often a large difference between what your byalws require you to do and what the folks from state will tell you have to do.

We finally have our PTO up and running but now have to formally dissolve the PTA. Other than notifing the state PTA, what else do we need to do? Any help is appreciated!
