I agree with the idea of only giving advertisers a copy of their ad, but I don't know that the solicitation problem is necessarily limited to your advertisers. We've had situations where parents have used the directory to solicit other parents for whatever business it is in which they are involved. Our directories now include the following language.
"This Directory shall be used for individual, personal and confidential reference purposes only. The presernce of student names and other information related to students and their families in this Directory represents only that they are students of (school name) as of the date of the directory preparation. It does not represent their consent to receive any marketing or related communications."
Thank you OneandOnly. I guess we just wanted the businesses to see their ads in the books, and will suggest to our board that we only present them with the actual page that was used for the advertisement.
PTO directories are distributed to PTO families ONLY. It is private information that was obtained through permission from the families for the distribution to school population only.
Provide any business that advertised with the pages with the advertisements only. They should NOT be given the full product and a waiver is not needed. They are advertising and that's it. You don't need a waiver to advertise.
Does anyone know where I can find a waiver to be signed by non-families of our school in regard to the PTO publishing a school directory and providing a copy of the directory to businesses that advertise in our directory? Our PTO does not want these businesses to solicit our families or disseminate their information, and wanted to know if anyone has any documents that could cover this?
