Cape Dad,

The best way to view details about an event from previous years is to go to the events main page and select the button "Include events from previous years" which is on the botton of the page. Previous years' events will then be shown and you can click on assign to see details.

The event detail report only shows current events. The other solution would be to run the volunteer detail report for the dates desired and export the results to excel.

As for maintenance last night - we will let you know via email of any extended maintenance (over 1 hour). I looked at the log and the site was down for about 9 minutes last night - right around 9PM - so if you ever get that message - try again in 5-10 minutes!

How do I access last year's data in report form?

For example, I want to see an Event Detail Report from last year's Holiday Shoppe. It does not appear in the drop box, even though I am pretty sure the data is there.

(I just went to check as you were going down for maintenance. LOL)

All volunteer hours are entered into PTO Manager by assigning volunteers to events. PTO Manager is very flexible in terms of how volunteers are assigned to events. You can decide if you want only your software administrators to be allowed to assign volunteers to events or if you want volunteers to assign themselves to events. (click on Set-up and then School to determine your settings.)

When assigning volunteers to events, you are able to change the date, task, and hours worked. You can choose to enter the exact times worked or instead only enter the number of hours.

Many groups assign people to events in advance of the event to use as a scheduling tool. You can also choose to simply record who worked an event after the fact to provide an accurate history of hours worked.

People can be assigned to the same event as many times as you want. Many groups use catch all event names like "classroom help" and then change the date and task to reflect the correct information.
