Cape--that was some of our concerns and why the decision was made. you never know when an accident may happen, or someone;s car be broken into, or home for that matter.
No matter how responsible soemone is, you never know what may happen. They may not take money what if...someone else who lives witgh them does, or what if.....someone who knows about the checkbook being at their home gets it, or what if.....who knows. And unfortunately most people who have had these kind of issues will say "she was the last one that i thought would steal" and things like that. we may be over cautious, but when it comes to the money i would rather be super secure than have to deal with anything bad happening.

We have a standing rule that fiscal policies are listed in an attachment to our bylaws. This can be changed with a board vote.

We do state that the checkbook is to be kept in our office at the school. Our treasurer actually requested that for fear that something would happen to it on the way to/from school.

Also, in her absence, the president can write checks, so we don't come to a halt when she can't be around.

Our treasurer cannot sign checks, BTW.

Gottcha Lucella! Best wishes on those elections. We've been there! We had that type of problem with the treasurer b4 me. So I understand the issue of where should we keep the checkbook, but along with that she wasn't doing the reports or any other duty with it.

Putting new bylaws together can be tedious, but when you're done - Wow is it a good feeling. Now every person on the Board knows their job duties and is expected to perform them. We aren't just a group getting together to chat! LOL! We are a corp. and we have a job that has to be done if we want to stay in business. That can be difficult to get some people to understand.

Hope it all goes well with your treasurer woes to all of you with them!

That is the million dollar question!! We got a bad treas. w/no bylaw provisions for removal...
she usually calls the pres. w/the report before the meeting & says she is not coming, the vp never comes either. Our treas. is(was) sole signatory on our acct. If we give a lot of notice we can get a check ahead of time. Otherwise, we work off reimbursement. I've been waiting for a check for almost a week now. But.... we have our fall election in a couple of weeks & new bylaws being (hopefully) approved. So, this is soon to be past tense! Chalk one up to experience!

CC is right...IMHO...and this isn't about the treasurer everyone trusts who is in place right now...it's about the health of the group in the long run and establishing policies that are non-personality oriented. It's hard (especially if it is a change) but most folks in a healthy organization can understand the need.

sswc07- You make a good point that an elected treasurer should be a capable and trustworthy person. And the treasurers who've posted here give valid reasons for a bit more flexibility in the "where to keep the checkbook" rules.

Once the decisions for how to handle things are made, though, I do think it's best to put it in the Policies and Procedures document.

This takes the whole "you don't trust me?!?!" issue out of the picture. It isn't about trust, it's about having solid financial controls in place for the protection of the group.
