The elections should be announced at a regular PTO meeting (several, preferrably). The minutes of that meeting should also be distributed. Basically, you should use as many means as possible to let your group know there is an election.
For example, our elections are schedule in the May meeting (as per our Charter). We announced in January that elections will occur and activated our Nominating Committee. The NC is charied by the Principal and checks to make sure anyone who wants to run is eligible to serve.
We have kept the NC on our agenda for each monthly meeting since, so it has been mentioned. Our minutes are included in the schools monthly newsletter. And after the April meeting next week, we should be sending an e-mail to remind people the elections are in May.
Your by-laws/Charter should be fairly specific about when elections occur and what the process is. I also find it odd that the election meeting is not at the standard place/time.
First off, we have no by laws in place currently. But my question is, since our Pto is our entire schhol since we have no dues, should the elections of new officers be announced in some way? In advanced? Or is it ok to just say that is is going to be in 2 weeks to the 5 people who were at the last meeting? Also, there are a couple of people running for each position. This is the first year for this. In the past it has been just very few interested in it. And there are some odd things that have happened, our meeting is always on Tues. at 6:30 pm but then got changed to 3:00pm only to find out that this is the election day. But not even all the board members can be there. It is all very odd. Just wanted to know for future reference, since we are forming by laws, on if we should let everyone know of elections, on the timing and how to do it? thank yo all!!!!
