If you are not a board member you will have to wait until the next general meeting to question the process of the audit. Usually, the board sends out a agenda with a spot at the end for open forum. This is the time to suggest a new audit because....

You will need to check the by-laws. They should be made avail to all members. Read through them to see if the audit needs to be performed by more than one person. Ours states that the 2nd v.p., and 2 more PTO members selected by the by-law committee. I think that is pretty much the norm. Also, I was under the impression that the audit would take place at the end of the year?

Good luck and make sure you have your ducks in a row! Please come back and let us know how it went.

I am not a Board member. There is only one person doing the audit who states she has no experience! I think she is confused as to the dates of some events which makes her feel a deposit is missing. For example the dinner was on Nov. 20- the deposit wasnt made until the 25. Our Holiday Shop was for Dec. 13-16 and the deposits were made late. I know the Treasurer made the deposits because they are on the P&L which matches the Bank Stmt and the daily receipts however again the Treas. made them days after the fact. Thats the only thing I can see that she is guilty of- not making deposits in a timely manner. So I think this person is looking to match dates. We all know deposits are not made the same day-usually the next and then depending on what time you go to the bank the deposit receipt may reflect an even later date. I just think this person is extremely uninformed and I do not want it to reflect on the Treas. She and I used to be friends but now barely speak. Regardless of that I do not want to see her blamed for something that is untrue. I spoke with the Officers who were on board with her last year and they feel the same way I do. Thanks!

Also, the audit should be done by more than one person. There should be a committee for this. We have a minimum of three people (not executive board members) AND the treasurer present should any questions come up.
Hope this helps.

I would get a second opinion from another CPA. (one that is a very neutral party) You can request it. Yes,the bank statements are a must. The treasurer should of received them monthly & she can show that there were no errors. An audit should be done by someone certified & an outside party. Good luck.

This is something that Im sure no treasure wants to hear. I beleive that the person who does the audits for the PTO should have some accounting background.

My question to you is: Are you on the exec board of the PTO or just a friend of the treasures?

If you are on the board, then I would (at your next meeting) request a new audit. Check your bylaws to see if it states in there who does the audit. And yes, the PTO pres and treasure sign off after the audit has been done stating that everyone is in agreement. If the auditor is stating that there is a deposit missing and the treasurer says otherwise, she can go to the bank and request a statment from that month to prove that she made the deposit. They will have any paperwork that is needed to prove or disprove the audit...

If you are a friend and a pto member, I beleive you have the right to see the audit. You may have to request it from the pres after the general meeting. Good luck>

Part of any audit is "management's" reply to any findings in the audit. What you need to be able to do is to be the one to respond.
