When we donate money to the school we usually will make up our own invoice:
EX: Pleased to attach our check # in the amount of $? for the 5th grade field trip.
EX It is with great pleasure to donate $? to the kindergarten graduation ceremonies.
EX Attached please find $? to be distributed in the teacher discreptionary accounts as directed below. ($100. for FT, $50. PT etc.)
We are under the schools umbrella and this has always been acceptable when we have our annual audit. As we are there to provide for the school I do not feel that a detailed receipt is needed. Just my 2!!

Our PTO has very little in the way of doucmented procedures as is often the case when there is a revolving door of Treasruer function. I call it "tribal knowledge". I understand the need for receipts on various expenditures that are part of the business functioning of the PTO.
I would like some input on the "giving" aspect of the PTO. If we "grant" a teacher money do we need receipts from the teacher on how they spent the money? I tend to think it is overkill in that supporting our staff is well within our function. The problem we have is that past Treasurers demanded receipts on every single cash outlay and that seems overly bureaucratic. Many teachers never bother asking for their grant.
Would a simple signed statement from the teacher asserting that the money was consistent with the purpose of the PTO/school suffice. Thanks for any advice.
