You know the vote can be questioned by the membership and for that matter any decision that is made can be questioned as the President (in a perfect world) is suppose to be accountable to the membership.
How many members actually know of this? I know it wouldn't fly very well at all. Too many questions and rumors of spending come to my mind.
How to fix this? Making the President accountable for every penny and proof of voting AND where in the by-laws is this acceptable? How much can she spend before needing membership approval? That's the one question that could make or break this issue.

I have been involved in my children's school through the PTO, and this year I am president, in all the years of my involvement, the voting has always been done at the meetings. If something comes up that has to be decided before the next meeting, then a it becomes an executive decision. The president and vice presidents (we have vice) get together and make the decision. Very rarely does this happen. It needs to take place at the meetings, the parents in attendance should get a vote and be a part of the discussion. As far as bylaws, you need them. It defines what the roles are and what is expected.
Being a seasoned PTO'er I joined the PTO at my children's new school. It has been a shocker. I just really need some feedback.
How many PTO's vote on financial matters over the phone??? This PTO feels this is fine to do and have been doing it for quite some time now. The only problem is not all the board members are asked for their vote. When the president or treasurer is approached by the teachers or principal for funds or wants to spend money, she calls up a few members who she obviously feels will vote in her favor and the other members have no idea the vote even has taken place. It really leaves a sour taste in my mouth because it causes a very divided board. You would think everyone would know what's going on. However, I have never been called to vote on anything. A vote has never even taken place at a meeting.
With the exception of an emergency, I feel the voting process should take place at a meeting with a proper quorum. As for by-laws, that's another issue. I am faced with eye rolling and head shaking, whenever its mentioned. It appears the general opinion of this PTO is "what's the big deal?" and I really shouldn't cause any "confrontation". I am not new to PTO business. I have been involved for many years in other schools and was approached by this board to join their PTO board when my kids transfered. I did so because I really feel parents are needed to support thier children's school environment. I didn't join to gain any personal reward or kudos. But now I don't know whether it was such a good idea since I am now meeting a lot of resistance. It's pretty rough to be the only one that feels something is amiss.
