PClubMom--you need to check with your state's corporations division. If your bylaws do not specifically allow voting in person outside a meeting, you may not be able to send ballots home. Ask about proxy or absentee voting. Better yet, find someone in your school who is a corporate attorney and have him/her check into it for you.
We did a send home ballot once. We had the issue on top explaining what it was. Then had a place for yes or no. At the bottom they had to fill out their childs name and teacher along with their name. When we collected the ballots we looked at a class list to make sure that they were valid. If it wasn't completely filled out we did not count it.
We are looking at amending our bylaws, some of our members are interested in term limits and changing our voting procedures. I am starting my second year as Pres.; we have informally had a term limit of 2 years, so formalizing it is not a huge deal.
The voting procedures change is my concern. We have it now so that only those present at the meeting vote. I am curious about alternative procedures others may use, ie send home ballots, and how you insure the integrity of the process. Thanks!
