I concur with Pres88 about Hospitality, but let me expand on the other 2. We have found it easier to make the overall fundraising plans a function of the Exec Bd and then ask for volunteer chairs for each individual fundraising project. At our school, we have a major "wrapping paper" fundraiser in the fall and usually one other smaller-scale project later. However, one fund-raising project is ususally enough for most people since they are fairly time-consuming in a very compressed time frame. We don't have a membership chair, per se, but maybe we should. As it is, our Secretary is responsible for creating, distributing, and tabulating membership forms during the first week of school. Our "Welcome Packet" includes a sign-up form, a description fo the PTO's purpose and major acitivities, a list of committees to join (this is a turn-around document which the secretary then has to tabulate), officer phone numbers, etc. We don't do a whole lot of marketing (haven't needed to since about 85% of the parents join). Maybe it's because they get the school directory for their $6 dues! good luck!
Well, off the top of my head, our Hospitality person is in charge of supply/coordinating coffee and food at each of our PTO meetings, first day of school, kindergarten registration and any other event that may come along. It is up to them if they do it themselves or with help, all costs are paid for from a line item in the budget. Fund raising, that would be me, I book the company or present choices if a change is to be made, I order all materials and meet with the company if needed, I get all materials out to the students with a letter from the PTO, I collect all orders (and tally them for my own peace of mind) I prepair the deposit for the treasurer, I send in the order, arrange for the delivery and disbursement to the students and finally take care of any problems with the order. Of course along the way I have helpers at various stages but a lot of time it is easier to do it on my own. Membership person, we do not have this position, the board just tries to communicate with all parents to get them interested in attending meetings and events.
I have a question. What are the offical duties of a fundraising, hospitality, and membership chairpersons? I'm in the process of typing up a letter descibing the duties of officer postions, to try to get people interested in next years PTO.Thanks in advance!
