How does parent money donations effect books

Thanks Shawn, that is good to know how your group does it. It isn't that we don't want to give families this option we just want to know how much paperwork is involved to be on the up and up with it. I do liek how shaun said they attach the excel sheet, that would be easy. We as a group have never really had this come up until last night and want to know how we should move on with it, it seems like we could give it as an option and just keep track from there. thanks for the help!

I'm sorry pals. I can't help with the 990 question. My group was not a separate 501(c)3 so we did not file tax returns. All of our financial info, audits, taxes, etc ran through the school and their accountant.

We've always done the excel sheet with name, address, etc and given a receipt for cash donations. As for the 990 and giving actual names on the sheet- I beleive (dont quote me on this) the excell sheet was attached to the 990 and sent to IRS-- no nonprofit group I have ever been with has turned down cash donations -- it is afterall called a donation -- that's what make our world go round

so as far as when it comes to your 990 you don't have to have that donation amount seperated from your income fundraisers, although now that I write that I can see you would keep it on a seperate line anyways. I guess I am confused because with the 990 packet there is a separate worksheet section to list contributions, names, address, etc...do you guys do this???

My last team's primary fundraiser was a direct solicitation for cash donations. All info was entered in an Excel spreadsheet. Thank you letters including the name, date and dollar amount were sent to each donor.

Some posters here have mentioned that parents can 'opt out' of a fundraiser by making a cash donation instead. I think that's a wonderful option for many parents.
