We didnt make anything as we don't charge for any of our events at all, we pride ourselves on that. We did a rsvp slip and figured two donuts per adult and one per child, then added two dozen, we put the left overs in the staff lounge so they were happy!
As far as juice and milk we figured so many ounces per person, coffee we just kept making it ...

Just curious about how you all decided how many donuts to buy, how much coffee to make, etc. How much money did your PTO make from this or was this just a break-even event to get parents involved?
We run our donuts/dad's, muffins/moms with literacy. They bring a book from home or they have some from the liberary to read with their child while they're there.
We also held our first ever Donuts with Dads and Muffins with Moms last school year. Both were a huge success. I took everybody's comments from here and used them. We had ours in conjuction with our Scholastic Book Fair. We ran them from 8:00 to 8:40. We divided them up according to last name. A-F went to donuts/muffins first, then went to the book fair and vice versa. This kept the flow even throughout the school. We also had the gym teacher come in a few minutes early for those kids whose parents had to leave. He ran activities in the gym for 15 min. prior to school.

We've held both Donuts and Muffins for a few years now and they have been a wonderful event for us.
We hold Donuts in Feb close to Valentines day and Muffins in May, close to Mother's day... we have centerpieces that we raffle off to our guests and we have a picture area with a back-drop and a nice display where we charge 2.00 and take the parents and child picture and then send home a day or 2 later so they can have a nice memory from the event, Places like CVS, Rite Aid have great borders you can add on for both events, plus this is a great way to off-set any extra cost from ordering extra donuts and muffins. The only thing we saw was that jelly donuts don't go and donut holes or mini donuts work the best. We will do this event every year.
